Transaction Coordinating service for Key Realty Agents

Overview

The KEY AGENT will:

  • Complete the Contract2Keys request form.

The CONTRACT COORDINATOR will:

  1. Accept the invitation & review the request form.
  2. Email acceptance & introductions:
    1. Email the agent that the file has been accepted into Contract2Keys.
    2. Email introductions to:
      1. Client
      2. Other Agent
      3. Title Company
      4. Lender
    3. Ensure the agent’s folders in Dotloop are complete and approved:
      1. As the file progresses the Closing Coordinator will submit the appropriate folders for review per Key Realty policy/standards:
      2. If corrections are needed, coordinate corrections with agent and/or client
      3. If the folder is complete and compliant, submit for review.

           

          For a Sales folder 

          • Review documents & coordinate with agent and/or client for any missing docs/signatures.

          Prepare the following documents with 24 hours notice

              • Contract Extensions
              • Removal of Inspection Contingency with verbiage provided by agent and pull inspection pages
              • Lender required documents and addendums
          • Send contract package to title company and/or lender including escrow letter
            • Agent Signature required to approve and verify escrow letter
          • Confirm receipt of earnest money
          • Organize sales and closing folders and submit for review
          • Order home warranty and load invoice into dotloop
          • Weekly email updates from Vendors To Clients
          • Track dates and send reminders to agents and clients prior to expiration:
            • Collection of EMD
            • Inspections
            • Remediation
            • Finance
            • Final Walk-Through 
            • Closing

             

            • Schedule or Confirm Events:

              • Ensure the loan application deadline is met

              • Notify everyone of important contract dates

              • Send verification of the earnest money (buyer)

              • Coordinate return of earnest money (buyer)

              • Assist with scheduling of the final walk through 

              • Assist with scheduling of the closing

               

              • Agent reminder for a complete review of HUD including:

                • Commission

                • Warranty

                • Closing costs

                 

                • Once the transaction has closed the coordinator will:

                  • Review Closing folder documents & coordinate with agent and/or client for any missing docs/signatures.

                  • Send client survey form (if the agent provides their link for Realtor.com/Zillow or other survey request portal of their choosing)
